I. Accreditation, Arrival & Departure, and Customs Clearance

1. Will the accreditation card allow competitors to watch all the other sports? Will there be reserved seating area for them? Will the accreditation card allow free access to all activities on Universiade schedule (including the Opening and Closing Ceremonies and the finals)?
A: Delegation members will need both the accreditation card and an admission ticket to enter the venues for the Opening and Closing Ceremonies and for the final competitions. Members will take the seats indicated on the admission tickets.

We just discussed the situation at the venues for the Opening and Closing Ceremonies and for the finals. At the venues for other events, accredited persons that have access and enjoy seating privileges may enter such venues with their accreditation cards. They can take seats in accordance with the seating code indicated on their accreditation cards, if vacant seats are available.

Athletes whose seating code is “U” may enter the competition venues of their sport and take ordinary seats in such venues to watch the competitions. However, in order to watch the competitions of other sports, they will need admission tickets to enter the venues for such competitions.

2. What are the criteria for excess luggage?
A: According to China’s civil aviation regulations, the weight of each piece of checked luggage cannot exceed 50kg, and its size cannot exceed 40cm x 60cm x 100cm. Any piece of luggage exceeding the weight and size thresholds should be declared beforehand; it can be transported only with the approval of the carrier.

3. Will the OC provide special luggage tags? How will Universiade participants be distinguished from other passengers at the arrival/departure airports so that they can enjoy the arrival & departure services provided by the OC?
A: The OC will send luggage tags to the delegations one and a half months before the Games. The OC will also send stickers for each delegation member to wear. When arriving at the airport, delegation members should place the stickers where they can easily be seen, so that staff of the airport and the OC can easily identify participants. Those who do not have such stickers should present the invitation letters sent by the OC to verify their identity. These procedures will help participants enjoy fast customs clearance services.

4. How will the luggage be transported from the airport to the Universiade Village? Will it accompany the athletes or be taken separately to the accommodation? How will the cargo be transported after entry? Where will it be stored?
A: The luggage that the athletes carry will accompany them in the same buses that the OC has arranged for the transportation from the airport to the Universiade Village. Large pieces of luggage will be transported directly by logistics companies (yet to be determined) to the relevant competition venues for storage.

5. How will the OC handle lost luggage at the airport?
A: The arrival & departure service team of the OC will assist participants in checking and registering the lost luggage at the luggage information desk of the airline, and will remain in contact with the airline to look for the luggage. When the luggage is found, it will be delivered to where the owner is staying.

II. Accommodations, Catering and Other Services
1. When will the Universiade Village open and closed?
A: The Universiade Village will officially open on August 6 and close on August 26.

2. When is the earliest possible time that a delegation can enter the Village to begin setting-up for the athletes’ arrival?
A: Delegations may inspect the Village and obtain information from August 3 to 6. However, no catering, accommodations and transportation services will be offered during this period. Delegations can only check-in at the Village after it has officially opened.

3. What are the check-in procedures?
A: The OC will allocate rooms and keys for athletes according to the name list submitted by each delegation. Athletes can go to their apartments after their accreditation cards have been activated. The Head of Delegation or another leader of the delegation should collect the accreditation cards of all the members for check-in, confirm the rooms of all members and distribute the room keys to them. If the information of any member needs to be modified, the new information should be prepared beforehand to ensure a fast check-in.

4. How many persons will share one room? How many keys will be provided per room? What will be provided in each room?
A: In accordance with the number of athletes in the Village during Games-times, three athletes will share one room. Each Head of Delegation will have his/her own room. Each delegation member will be given a room key after registration at the reception desk of the apartment building.

Each room in the athletes’ apartments will have 4 single beds (two beds are elevated; two beds are on the floor; one elevated bed can be used for luggage); three two-door wardrobes; a desk with a chair, an air-conditioner and other equipment. The two non-elevated beds can be extended to up to 2.3 meters. Bedding for each bed will be provided, including a mattress, a quilt suitable for an air-conditioned room, bed sheets, a quilt cover, a pillow and pillowcases. Each bathroom will have shower facilities, a sit-down toilet and a sink 24-hour hotel-style services will be offered. Sheets will be replaced every three days and towels will be allocated to each person. Ice will be available at the Self-service Center on the first floor of each apartment building.

5. Is the tap water drinkable in all the venues?
A: Tap water in the Universiade Village is not drinkable. Free bottled water will be available in the Village and other venues. Juices and other drinks can be bought at snack bars and vending machines.

6. Will the Universiade Village have laundry rooms? Where will be they located? Will the service be free?
A: Athletes can send their clothes to the designated laundry services point where the clothes will be cleaned by professional laundry staff within 24 hours. The cleaned clothes will have to be picked-up by athletes themselves; there will be no delivery service. Free laundry service will be available for athletes’ water-washable clothing that will be used for competitions and training. Dry-cleaning and urgent laundry services will also be provided at the Village for a fee.

7. Can large pieces of luggage be stored in the Universiade Village? What’s the procedure for obtaining such services?
A: The luggage of athletes and team officials can be stored temporarily in the Protocol Department on the first floor of each apartment building. The procedures will be to register the luggage with the Protocol Department, get a left-luggage receipt and then sign to confirm the storage. The left-luggage receipt should be kept properly because it is needed to reclaim the luggage. No storage service will be provided for at the Village for food products, sporting firearms, large equipment and special equipment.

8. Will training facilities be available in the Universiade Village? Will there be recreational activities at the Village?
A: The Village has a Physical Rehabilitation Center, which includes a swimming pool and a gym. The Village also has leisure and recreational facilities, including a coffee shop, bars, an Internet café, a DVD room, and areas for cultural activities and exhibitions. Performances and interactive displays will also be staged.

9. Will FNSU offices and medical rooms be located in the Residential Zone? Will meeting rooms be available in the Village? How can delegations reserve a meeting room?
A: FNSU offices will be located on the 4th to 11th floors of the Welcome Center, about a 3 to 5 minute walk from the athletes’ apartments. The International Zone of the Village has a Polyclinic that provides free basic medical services. In addition, each FNSU office will have a bed for medical purposes. In principle, there will be an office for each delegation. Reservations for the use of meeting rooms can be made at the reception desk.

10. Will there be cell phones, computers and printers available for rental? Will there be a fax machine in the HoD’s Office?
A: The OC will provide each HoD with a mobile phone. Each HoD’s meeting room is equipped with a computer and a multi-function printer (which can copy and fax).
